Titan America has an excellent opportunity for an *Administrative Assistant *to join our Corporate Engineering Division supporting the Project Management Office.
This non-exempt position will be responsible for providing support to the Project Management Office and team.
This position will report directly to the Corporate Director of the Project Management Office at the Corporate Engineering of Titan America.
The position will be in Roanoke, Virginia.
_*Responsibilities include:*_ · Electronic and hard copies record keeping of all project documentation, documents, drawings, contracts etc.
Ensure that PMO adapted naming convention is followed by internal and external partners for all documentation.
· Record keeping electronically and hard copies of project financials such as purchase orders, contracts, invoicing.
· Act as a liaison between PMO and accounts payable.
· Receive from Project Managers all vendor invoicing, and report to PMs for accuracy against purchase orders and contracts terms and conditions (not responsible for reporting the work delivered).
· Once invoicing is cleared by the PMs, submit to accounts payable for receiving in SAP.
Not responsible for payments.
· Follow-up that receiving of invoicing takes place once engineering clears them.
· Follow-up to assure that payments are being made according to agreed terms and conditions.
· Check with the company SAP ERPs system and download queries and then produce Excel reports regarding spending and money commitments per account.
Check with respective PMs for compliance with receiving invoicing and against purchase orders and project budget.
· Ability to comprehend technical contracts and create along with the assigned project manager a list of all deliverables, warranties etc.
with respective timetables.
Notify PMs for when those dates are approaching or have elapsed.
· Assist in the preparation of presentations as required.
· Provide additional administrative support such as coordinating meetings with Project Managers and company executives, creating Minutes of Meetings etc.
· Assist the PMs in the project closing phase.
· Assisting Project Managers with every aspect of their projects as directed by the PMO director.
· Ability to travel when it is required.
Potential travel is less than 10% of the time.
_*Qualifications and experience:*_ · 3-5 years of similar and relevant experience required · Associate degree or bachelor’s degree in Construction, Business, Communication, Technical, Management, Administration or Accounting preferred · Excellent MS-Outlook, Word, Excel and Power Point Skills · Good understanding of computer filing management systems · Accounts Payable processes knowledge · Candidates with some construction knowledge are preferred · SAP knowledge preferred · Is very detail oriented and has the ability to monitor numerous projects at once · Excellent organizational skills · Excellent communication Skills · Team player and collaboration Success begins with hiring the right people to partner with us as we grow and develop our businesses.
