Position Summary:
Performs complex and responsible administrative work for the Finance division, including special assignments and related work.
Ensures efficient operation of the Finance office.
Provides ancillary administrative assistance in support of the Board of Directors.
Assists the Actuarial and Underwriting division as needed.
Essential Functions:
Supports CFO with management of Board & committee meetings and commitments, board materials, utilizing PowerPoint, Outlook, and Excel
Provide administrative support for the Finance division by preparing backup for intercompany billing, maintain check deposits and logs, assist with tracking provider liens, maintaining monthly reconciliations
Collaborates with Executive Assistant to the CEO regarding Board meeting needs
Attends on-site Board meetings, requiring overnight travel
Supports on-site Board meetings, including logistics for meals, lodging, seating arrangements, incidentals
Prepares and/or edits professional presentations and documents in Excel, PowerPoint, and Word
Prepares deposit of provider refunds and other payments
Prepares abandoned property due diligence letters and state filings, using mail-merge between Excel and Word
Maintains spreadsheets supporting Board member attendance at meetings and committees.
Maintains spreadsheets for 990 required information for Board expenses
Assists with sales and use tax filings and payments
Provide support for Finance division meetings.
This could include calendar management, on-site support for meetings and conferences, catering, supply ordering, etc
Assist Accounting with resolving AP and vendor billing issues, requests modifications from appropriate groups and follow through until payment is completed
Book travel and prepare expense reports for finance, accounting and other personnel, as needed
Qualifications/Education/Experience:
Prefer Associate’s or Bachelor’s degree, or an appropriate combination of education and experience.
Prefer CAP certification
Extensive experience as an administrative assistant, office manager or related position in an executive environment.
Extensive experience using computers including Outlook, Powerpoint, Word and Excel.
Experience with Zoom or MS Teams, expense reporting and travel arranging software preferred.
Experience with preparing financial presentation materials.
Experiece working with Board members and senior leadership.
Exceptional customer service skills with ability to represent the organization responsibly and ethically to both internal and external customers.
Ability to aggregate and publish reports from multiple sources using Adobe and other software tools.
Demonstrated experience influencing and getting results through others.
Ability to think and plan strategically for organizational success.
Ability to maintain confidentiality of sensitive and proprietary information.
Proven attention to detail, and positive, professional demeanor.
Strong interpersonal and communication skills, including phone and email skills.
