VDOT’s Salem District’s Human Resources Division is seeking an hourly training support coordinator to provide administrative support to multiple District Learning Managers who oversee generalized training and leadership development programs.
This role is responsible for providing quality customer service to employees and others, and support to the training managers focused on the agency goal of increasing opportunities for continuing education and new learning.
The selected candidate will: perform full clerical, administrative, and general office duties; maintain records; exercise occasional independent judgment and initiative to assist multiple training locations; and perform a variety of administrative follow-through functions.
Position will also: assist in processing tuition assistance applications and training records; coordinate the Central Office training registration process; develop and publish periodic training schedules; provide materials for and coordinate coaches and facilitators; and maintain accurate inventory of training materials, supplies, and audio-visual equipment.
Position will, at times, assist with the administration of presentations and training.
VDOT is an emergency response agency and this position is key to fulfilling this agency requirement, and this position will be called upon to work outside of normal work hours during emergency operations such as inclement weather, flooding, and/or traffic incidents.
Minimum Qualifications Experience working with Microsoft Office programs (Word, Excel, PowerPoint, etc.
) and Google Workspace (Gmail, Google Calendar, Google Drive, etc.
) in support of office operations to enter data, generate reports, create, organize, and maintain files and records, send email, and generate projects.
(Experience to include utilizing spreadsheet software to design spreadsheets, create formulas, and display graphics to capture data and generate reports.
) Ability to screen phone calls and route appropriately.
Ability to schedule appointments and group meetings and coordinate facilities, services, groups, and attendees.
Ability to audit data for accuracy and reasonableness.
Ability to accurately perform calculations to support tuition assistance.
Ability to respond to routine, moderately complex inquiries and communicate with appropriate staff.
Ability to communicate effectively verbally and in writing.
Experience consulting with and providing outstanding customer service to internal and external customers.
Experience in the administration of presentations and training.
Additional Considerations Experience using Microsoft SharePoint Online or similar application.
Experience using Cornerstone Learning Management System or similar application.
Experience performing administrative tasks and functions in a training/workforce development environment.
