Lifestyle and Lake Real Estate Group seeks (2) part-time professionals with great interpersonal skills and an aptitude for detail-oriented work to provide office coverage and staff support Monday – Friday from 9am – 6pm and Saturdays from 8 am – noon.
The successful applicants will be responsible for managing all contract documentation in a timely, thorough manner and ensuring real estate transactions are coordinated and progress seamlessly by maintaining complete awareness of in process transactions.
Weekday AM Shift: 9 am – 2 pm Weekday PM Shift: 1:30 pm – 6:00 pm Saturdays: 8 am - noon L&L Offices are closed on Thanksgiving and Christmas.
Compensation: $20 hourly Responsibilities: Contract Support – Shall collaborate with real estate agents and other Paralegals on the development and execution of real estate contracts and related legal documentation.
Tasks shall include but are not limited to: Receives instructions and dictation as inputs for drafting, editing, and reviewing a variety of legal documentation including Buyer’s Agent Agreements, Purchase Agreements, Disclosures, Removal of Contingency Forms, etc.
Conducts a review and approval of all paperwork to establish accuracy and completion, and initiates corrections where necessary.
Routes documents for signatures and validates that all signatures are received where appropriate and according to contract terms and deadlines.
Transmits complete, accurate paperwork to the appropriate entities, files documentation, and provides status reports where appropriate to ensure traceability.
Transaction Coordination – Shall manage the flow of documentation and deliverables in support of real estate agreements to meet contract deadlines and other legal requirements including but not limited to: Preparation of listing materials: Pre-listing presentations, listing agreements, disclosures, market analysis, and online property profiles; Coordinate showings and open houses.
Coordinating title/escrow, mortgage loan, and appraisal processes; Inspections and repairs; Moving and possession schedules; Walkthrough and closing processes.
Communicates updates to clients, agents, lenders, and other people involved in real estate transactions.
Documents client files to ensure all requirements are completed on time and according to contract clauses.
Executive Assistance – Shall assist the Principal with coordinating people and information flow in a timely and accurate manner between the Principal, customers, vendors, employees, and outside real estate agents in order to meet obligations.
Tasks shall include but are not limited to: Brief the Principal on upcoming obligations, opportunities, contract deadlines, and workflow.
Draft memos, emails, presentations, and reports.
Schedules showings, open houses, listing appointments, internal meetings, and updates calendars.
Email Management – Shall be fully responsible for monitoring the email account daily and promptly responding to all requests for information and documentation with appropriate actions.
Tasks shall include but are not limited to: Monitoring the shared email account and accepting phone calls from the Principal.
Acknowledge incoming communications and initiate follow-up actions as appropriate including Routing documents for signature, extracting data for data entry, performing data entry, collecting information, and providing information in response to requests, and updating contracts and other legal instruments.
Communicate the receipt of documents containing critical deadlines and reportable data points, and update databases and impacted deliverables, as necessary.
Filing all documentation and email correspondence in appropriate folders.
Other Support – Shall provide intermittent, as needed.
Miscellaneous support such as purchasing or packaging client gifts, ordering marketing materials, uploading social media materials, transporting signage, coordinating client appreciation events, supporting the efforts of team members, watering plants, open the office, and tidying the office each evening at lockup.
Qualifications: A minimum of 2 years of relevant professional experience.
Possesses an extraordinary work ethic.
Is a self-starter, self-directed, with a “can-do attitude” and is able to work without supervision.
Anticipates needs and takes appropriate actions with the best interests of the Company in mind.
Has excellent time management and organization skills, acute attention to detail, and exhibits a keen understanding of prioritization of tasks.
Has a proven track record of meeting deadlines and taking initiative to make confident and well-informed decisions; applies logic and common sense.
Is able to handle a multitude of tasks in a fast-paced, time-sensitive environment and delegates appropriately.
Possesses excellent written and verbal communication skills, strong interpersonal skills, and exhibits professionalism at all times.
Remains calm under pressure, handles conflict appropriately, conveys a jovial attitude, and is personable and professional with all colleagues, both internally and externally.
Is comfortable performing a wide range of administrative duties including, but not limited to: sending and reviewing/receiving e-mails, drafting correspondence, preparing memorandums, creating spreadsheets and presentations, maintaining detailed records and organized filing system(s), scheduling and tracking invoices and payments, handling daily schedules, orchestrating travel arrangements, overseeing task management, arranging teleconferences, scheduling meetings, and handling general day-to-day operations.
